How many onboarding kits should you order?

Order for the people you have, plus a small buffer for the ones you have not met yet — here is how to size it.

The most common mistake with onboarding kits is ordering exactly the headcount you have today. Two weeks later a late hire joins, or someone’s kit arrives damaged, and you are placing a second small order at the worst possible price.

A working rule: order your confirmed headcount plus 5–10% buffer. Kits are not perishable, and the surplus becomes your replacement stock for the next cohort. If you run a rolling onboarding programme, tell us the expected annual volume instead — we can hold stock and release it per cohort, so you are not paying for storage or re-ordering at small-quantity pricing every month.

What matters more than the exact number is deciding early: whether kits are shipped to individuals or to one office, and whether the contents differ by role. Those two answers drive packing, freight and cost far more than a rounding difference in quantity.
